Custom Paper Tableware: What to Check Before Sample Approval
Review printed paper plates, cups and napkins as finished products, not just artwork. Define dimensions, intended use, print layout and packing before approving a coordinated range.
Approve custom paper tableware against a written product-and-artwork brief. Check the physical article, intended use, print result and supply pack together. A digital design approval confirms the agreed layout; it does not replace a finished-product sample review. TABLE & THEME’s range includes paper plates, cups and napkins, with selected construction and supply terms confirmed through quotation and sampling.
1. Identify the exact article
Use a separate specification for every plate, cup and napkin. For plates, record the shape, overall dimensions and usable surface. For cups, request the capacity basis, dimensions and construction. For napkins, state folded and unfolded sizes, fold style and layer requirement. A shared theme should not hide differences between a beverage napkin and a dinner napkin or between a plain cup and a handled paper teacup.
2. State the actual intended use
Tell the sourcing team what the product will hold, how it will be served and the destination market. Distinguish cold drinks, hot drinks, dry food and other specific service conditions in the enquiry. Ask for the proposed material and supporting information for that exact product and use. Do not transfer a suitability statement from one cup or plate to another simply because the artwork matches. Any destination-specific documentation should be reviewed against the selected article.
3. Check the artwork on the formed product
Review the logo, motif size, orientation and trim area after forming or folding. Check a cup’s visible face and seam area, a plate’s rim and centre, and the front panel of a folded napkin. Confirm whether critical wording remains readable in the normal presentation. Keep the artwork revision and colour reference with the sample record so later changes cannot be confused with the accepted design.
4. Separate layout proof from sample acceptance
The manufacturer Duni describes customisation as a sequence from product needs and artwork proposal to approval. Apply that distinction to your purchasing records: retain a dated layout approval, then record which physical samples were accepted. If production-equivalent materials or print methods were not used for a sample, document the limitation and the outstanding check. Do not let a convenient mock-up silently become the finished-product standard.
5. Inspect the sale or service pack
Count pieces, confirm the assortment and inspect the proposed sleeve, bag or box. List the packaging language, product identification and carton markings required for the destination. Check whether different items are packed together or supplied as separate coordinated lines. Ask for carton dimensions and quantity before freight comparison; the number of guests shown in a styled image is not a packaging specification.
Common purchasing questions
Can the same artwork file be used on every component? It can provide a shared design source, but each product needs its own layout check for dimensions, folds, curves and visible area.
Does a matching colour name guarantee a matching appearance? Agree a practical reference and review the finished samples together. Paperboard, tissue, coatings and print coverage can produce different visual results.
What should the RFQ include? Send the product list, dimensions, intended use, artwork, quantity per design, packing, destination and target arrival window. TABLE & THEME can review the brief for quotation and samples. Final material, documentation, minimum quantities, supply and timing require confirmation.
